Teams Shared Space License: Lobby Phones, Hot Desks and Teams Rooms

Microsoft renamed the Teams Shared Devices license to Microsoft Teams Shared Space in April 2026 and kept the price at $8.00 per device per month on an annual commitment (Microsoft list price, October 2026 price list). It licenses the phone in the lobby, the hot-desk display, the panel outside a room and, in a new twist, four bookable desks per license. It does not license a Teams Rooms system; that is Teams Rooms Basic or Teams Rooms Pro. This article says what each covers, how many of each a tenant needs, how the accounts are created, and prices a 40-person office with a lobby phone, two meeting rooms, a warehouse phone and eight hot desks.

What the Teams Shared Space license covers

Microsoft's Teams Shared Space page says the license designates certain devices as shared and licenses the extra software running on them under a shared-use model: Teams Phone devices deployed in common areas, Teams panels, desk docks and Android mobile phones. Prior to April 2026 the same license was called Microsoft Teams Shared Devices, and before November 2022 the phone-only version was the Common Area Phone license. Three things the license brings to the device:

  • Calling. The common-area phone features carried over from the old license: call queue and auto attendant membership, call park and retrieve, cloud voicemail and group call pickup. The license includes Teams Phone Standard for the device, which is the PBX half; the half that reaches the public phone network is separate (next section).
  • Hot desking. On a Teams display or a hot-desk phone, a person signs in to reserve the desk and make calls as themselves, then signs out.
  • Device management. Intune and Entra ID P1 are in the license, so the device can be enrolled, held to a compliance policy and put behind Conditional Access.

The newer part is desks without devices. One $8.00 Shared Space license can enable four bookable desks or bring-your-own-device rooms; when it is provisioned for one, the administrator sees three more $0.00 Microsoft Teams Shared Space - Single Space licenses for the other three. The October 2026 sheet carries that Single Space line at $0.00, dated 1 April 2026.

What it does not cover, in Microsoft's words: a more complete meeting room experience with video, which needs a dedicated Teams Rooms license on a Teams Rooms device. Microsoft does not support licensing Teams Rooms hardware with a Shared Space license.

Teams Shared Space vs Teams Rooms Basic vs Teams Rooms Pro

Teams Shared Space Teams Rooms Basic Teams Rooms Pro
Price, annual commitment per month $8.00 per device No charge with a certified Teams Rooms system $40.00 per room system
Licenses Common-area phones, hot-desk displays and phones, standalone panels, desk docks, shared Android phones, bookable desks One certified Teams Rooms system per room; up to 25 Basic licenses per tenant Certified Teams Rooms systems and Teams panels; required above 25 rooms
Meetings Join from a phone or display Scheduling, joining, content sharing, whiteboarding Basic plus intelligent audio and video, front row, large galleries, dual screens
Teams Phone Teams Phone Standard included (add a calling path for the public network) Not included Teams Phone Standard included
Management Intune and Entra ID P1 included Basic security and management Intune Plan 1, Entra ID P1, Conditional Access, remote management, device alerts and analytics in the Pro Management portal
Panels Yes, standalone No Yes

The Teams Rooms Pro service plan list on Microsoft's licensing page names Entra ID P1, Teams Phone Standard, Intune Plan 1, Teams and Audio Conferencing; a Teams Rooms Pro without Audio Conferencing variant sits on the sheet at the same $40.00 for tenants that cannot use dial-in. Conditional Access for a room device needs the Pro license. The Teams Rooms licensing changes article covers how the Basic and Pro pair replaced the older room SKUs.

The prices on the October 2026 list

Per device or per user per month on an annual commitment, Commercial segment, Microsoft list price, October 2026 price list. Month-to-month prices are in parentheses where the sheet has one.

Line Annual, per month Per year
Microsoft Teams Shared Space $8.00 ($9.60) $96.00
Microsoft Teams Shared Space - Single Space $0.00 $0.00
Microsoft Teams Rooms Pro, with or without Audio Conferencing $40.00 ($48.00) $480.00
Microsoft Teams Phone Standard, per user $10.00 ($12.00) $120.00
Microsoft Teams Domestic Calling Plan, customers in the US, UK and Canada $8.00 ($9.60) $96.00
Microsoft Teams Calling Plan pay-as-you-go, country zone 1 $3.00 plus per-minute charges $36.00
Teams Phone with Calling Plan, country zone 1 (US), per user $17.00 ($20.40) $204.00
Microsoft Teams Phone Resource Account $0.00 $0.00

Two things the table implies. A lobby phone that must dial out costs $16.00 per month: Shared Space $8.00 and a Domestic Calling Plan $8.00, or $11.00 plus minutes on pay-as-you-go. And a Teams Rooms Pro room that must dial out costs $48.00: the Pro license already carries Teams Phone Standard, so only the calling plan is added. The calling plan versus Operator Connect versus Direct Routing article covers the alternatives to a Microsoft calling plan, which apply to shared devices as well.

How many of each license a tenant needs

Count devices and spaces, not people.

  1. One Teams Shared Space per common-area phone: lobby, warehouse, break room, elevator lobby, loading dock. If it must call outside, one calling path per phone.
  2. One Teams Shared Space per hot-desk device: each Teams display or hot-desk phone at a shared desk is its own device and its own license, because the license is per device.
  3. One Teams Shared Space per four bookable desks or BYOD rooms without a device: a huddle room with a screen and a cable, or a desk people reserve in Teams, is a space, and four of them share one paid license plus three Single Space licenses.
  4. One Teams Shared Space per standalone panel: a panel outside a room that has no Teams Rooms system, for example a focus room booked from the panel.
  5. One Teams Rooms license per room system: Basic for up to 25 rooms that need meetings only, with no panel, no Teams Phone and no Conditional Access; Pro for rooms with panels, rooms that dial out, rooms you manage remotely, and every room past the 25th.
  6. One Teams Phone Resource Account per auto attendant and per call queue, at $0.00; the resource accounts article explains when a resource account also needs a calling plan.
  7. Per-user licenses for the people: Teams Phone Standard at $10.00 on Business Premium, Business Standard or E3; included in E5. Shared devices never take a user license.

Resource accounts and how to assign the licenses

Meeting rooms. A Teams Rooms system signs in with a resource account, which is a room mailbox in Exchange Online. Create it as a room resource, set a password that does not expire, assign the Teams Rooms Basic or Pro license to that account, and set the calendar to auto-accept invitations. Exclude it from user Conditional Access policies that require multifactor authentication; with Pro, apply a device Conditional Access policy instead.

Common-area phones. A common-area phone signs in with an ordinary user account, not a room resource: create a user such as lobby@yourdomain.com, assign the Teams Shared Space license and the calling plan if it dials out, and apply an IP phone policy in the Teams admin center with the sign-in mode set to common area phone, which gives the device the simplified dial-pad interface. Add the account to the call queue or auto attendant where the lobby should answer.

Hot desks. The Teams display at the desk signs in with its own shared account carrying the Shared Space license; the person signs in on the device with their own credentials, so they need their own Teams Phone Standard license to call as themselves.

Bookable desks and BYOD rooms. Create the desk or room as a workspace or room resource in Exchange, assign one Shared Space license to the first and the three Single Space licenses to the next three.

Auto attendants and call queues. Create a resource account of the auto attendant or call queue type in the Teams admin center and assign the Teams Phone Resource Account license.

Worked example: a 40-person office with a lobby phone, two rooms and a warehouse phone

An engineering firm with 40 people on Microsoft 365 Business Premium, a reception phone, a warehouse phone that must call couriers, two conference rooms with certified Teams Rooms systems and panels outside the doors, and eight hot desks with Teams displays for the field staff who come in two days a week. One auto attendant answers the main number. Prices are Microsoft list, October 2026 price list, annual commitment.

Item Count License Per month Per year
Staff calling 40 Teams Phone Standard $10.00 + Domestic Calling Plan $8.00 $720.00 $8,640.00
Lobby phone 1 Teams Shared Space $8.00 + Domestic Calling Plan $8.00 $16.00 $192.00
Warehouse phone 1 Teams Shared Space $8.00 + Domestic Calling Plan $8.00 $16.00 $192.00
Conference rooms with panels 2 Teams Rooms Pro $40.00 (panels covered by Pro) $80.00 $960.00
Hot-desk displays 8 Teams Shared Space $8.00 $64.00 $768.00
Auto attendant 1 Teams Phone Resource Account $0.00 $0.00 $0.00
Shared devices and spaces $176.00 $2,112.00
Total including staff $896.00 $10,752.00

Two variations change the number. If the two rooms have no panels, never dial out and nobody wants remote management, Teams Rooms Basic costs nothing for the systems; the difference is $80.00 per month, and the room analytics go away. If the eight hot desks are bookable desks with no device, two Shared Space licenses and six Single Space licenses replace the eight device licenses: $16.00 instead of $64.00. The Teams Phone calculator runs these variations for your counts; the licenses are the customer's own Microsoft subscription, and setup is a separate fixed-price project.

Renewals and the mistakes that cost money

  • Annual terms under NCE. Shared Space and Rooms Pro are annual-commitment licenses at the sheet price; month to month is $9.60 and $48.00. Count devices before the renewal date, because a decommissioned lobby phone keeps billing until the term ends; the NCE renewal checklist has the dates.
  • Rooms on Shared Space. Not supported. Use Basic or Pro.
  • Basic past 25. The 26th room system needs Pro, and so does every room with a panel.
  • A user license on a phone. A lobby phone on Business Premium works, and costs $22.00 for an $8.00 job.
  • Forgetting the calling path. A Shared Space phone with no calling plan, Operator Connect or Direct Routing can call colleagues and nobody else.
  • Hot-desk devices counted as desks. The four-for-one rule is for desks and BYOD rooms without a Teams device; a Teams display at a desk is one device and one $8.00 license.

Frequently asked questions

What is the Microsoft Teams Shared Space license?

It is the per-device license for shared Teams devices: common-area phones, hot-desk displays and phones, standalone Teams panels, desk docks and shared Android phones, at $8.00 per device per month on an annual commitment (Microsoft list price, October 2026 price list). It includes Teams Phone Standard, Intune and Entra ID P1 for the device, and one license can also enable four bookable desks or BYOD rooms.

What happened to the Teams Shared Devices license?

Microsoft renamed it Microsoft Teams Shared Space in April 2026. The price and the device coverage carried over, and the rename added the four-desk allowance with the $0.00 Single Space licenses.

Does the Teams Shared Space license include calling?

It includes Teams Phone Standard, so the device can make and receive calls inside Teams, sit in call queues and auto attendants, park calls and use voicemail. It does not include a way to reach the public phone network; add a Microsoft Calling Plan ($8.00 domestic for US customers, or pay-as-you-go at $3.00 plus minutes), Operator Connect or Direct Routing.

Can I use Teams Shared Space for a meeting room?

Not for a Teams Rooms system; Microsoft does not support it, and the room needs Teams Rooms Basic or Pro. You can use Shared Space for a standalone panel outside a room that has no Teams Rooms system, for a bring-your-own-device room that people book, and for a phone or display in the room.

What is the difference between Teams Rooms Basic and Pro?

Basic is no charge with a certified Teams Rooms system, limited to 25 per tenant, covers scheduling, joining, content sharing and whiteboarding, and does not license panels or include Teams Phone. Pro is $40.00 per room per month and adds Teams Phone Standard, Intune, Entra ID P1, Conditional Access, intelligent audio and video, front row, dual screens and the remote management and analytics in the Pro Management portal.

How many Teams Rooms Basic licenses can I have?

Up to 25 per tenant. Room systems beyond 25, and any room that needs a panel, Conditional Access or Teams Phone, take Teams Rooms Pro.

Do common-area phones need a resource account?

No. A common-area phone uses a regular user account with the Teams Shared Space license and the common area phone sign-in mode. Resource accounts are for meeting rooms (a room mailbox with a Rooms license) and for auto attendants and call queues (the $0.00 Teams Phone Resource Account license).
