Hardware warranty claims and on-site AV repair stay with the vendor and your installer; we run everything that can be run from the portal.

We operate your rooms through the Microsoft Teams Rooms Pro Management portal — Microsoft's dedicated operations surface for Teams Rooms — which gives us fleet-wide health signals, incident detection, update management, and room analytics without a site visit. Each month, every enrolled device gets the same discipline: health alerts triaged as they occur and remediated remotely (restarts, re-sign-ins, configuration fixes, stuck-update recovery); firmware and app updates applied on a managed schedule instead of whenever a device feels like it; and configuration drift corrected against your agreed room standard so every room behaves the same way. When something cannot be fixed remotely — a dead camera, a physically damaged console — we do not pretend otherwise: we hand you a precise diagnosis for the vendor warranty claim or your AV installer, which turns a vague "the room is broken" into a one-visit repair. Every quarter you receive a utilization and reliability report: which rooms are used and which sit idle, incident and resolution history, update compliance across the fleet — the evidence you need to defend the next room investment or retire a space nobody books. The service is $90 per device per month with no long-term commitment, and it pairs naturally with our Microsoft Teams Rooms Design and Deployment service: we build the rooms, then keep them boring. Rooms we did not deploy are welcome too — onboarding starts with a health review, and anything that needs fixing before steady-state care is scoped honestly rather than absorbed silently.

Health signals and incident alerts from the Pro Management portal are watched continuously; alerts get a first response within 1 business hour and remote remediation immediately after. Most incidents are resolved before the room's next booking.
Firmware and app updates are reviewed and applied on the agreed schedule — staged across the fleet so a bad update hits one room, not all of them — and update compliance is tracked per device.
When remote remediation cannot fix it, you receive a diagnosis package for the vendor warranty claim or your AV installer, and we verify the room is healthy after the physical repair lands.

How fast do you respond when a room has a problem?
First response within 1 business hour — the same SLA we publish monthly statistics for on our /verify pages, covering every month since December 2023 including the months we missed. Many issues never reach the point of a human reporting them, because the portal's health alerts reach us before the next meeting does.
What licenses do our rooms need?
A Microsoft Teams Rooms Pro license per managed device. Pro unlocks the full management portal feature set this service runs on — device and update management, health telemetry, and room analytics. Basic-licensed rooms appear in the portal with only a reduced feature subset, which is not enough for real managed operations; at onboarding we tell you room by room what licensing changes, if any, are needed, and can supply Pro through our CSP relationship.
Can you manage rooms you didn't deploy?
Yes. Onboarding starts with a health and configuration review of every room. Healthy rooms enroll straight into steady-state care. Rooms with pre-existing faults — wrong accounts, broken peripherals, ancient firmware states that will not recover remotely — are flagged with a remediation scope first, because a managed service that starts from a broken baseline just bills you monthly for the same problems.
What happens when hardware physically fails?
We diagnose it remotely as far as the platform allows and hand you an escalation package: the device, the failed component, the error evidence, and what to ask for. You file the vendor warranty claim (the warranty is your contract, not ours) or send your AV installer, and once the fix lands we verify the room reports healthy again. What you are not left with is 'the room doesn't work' as the entirety of the ticket.
Do you do on-site repairs?
No — the service is deliberately remote, which is what makes $90 per device per month possible. Physical work is handled by your staff or your AV installer with our diagnosis in hand, and where you want us to arrange more, on-site assistance can be quoted separately as time and materials.
How does billing work?
A flat $90 per enrolled device per month — the rooms enrolled that month are the rooms billed. It is month to month with no long-term contract: stop any month, and all we ask is payment of previously approved invoices. Adding a room mid-month is a note to your account contact, not a contract change.
What is in the quarterly report?
Utilization by room (which spaces are booked and used, which sit idle), reliability history (incidents, causes, resolution times), update compliance across the fleet, and recommendations with reasoning — including unflattering ones, like the room that should be retired or the space that needs acoustic help no firmware update will provide.
How do updates work — will a room ever update itself mid-meeting?
Updates are managed, scheduled, and staged: applied in agreed windows outside business hours, rolled to part of the fleet before the rest so a problematic release is caught on one room instead of all of them, and tracked to completion. The point of managed updates is exactly that rooms stop deciding for themselves.
We already have an IT team — why would we add this?
Most IT teams can fix a Teams Room; few have the time to watch a fleet of them continuously, stage firmware rings, and produce quarterly utilization evidence. This service takes the always-on, per-room operational layer, and your team keeps everything else — with our Microsoft Teams Administrator on Demand service available separately when tenant-level Teams administration needs the same treatment.
Is there a minimum number of rooms or a minimum term?
There is no minimum term — the service is month to month under our published no-lock-in policy. Pricing is a flat $90 per device per month at any fleet size; practically, the service earns its keep from around three rooms upward, and if you have a single room we will say honestly whether ad-hoc support is the cheaper path.
