Privacy Notice. Plain English, like the rest of the site.
Effective July 26, 2026. This notice explains what IT Partner LLC(“IT Partner”, “we”) collects on o365hq.com, why, and what your choices are. The short version: we collect what you type into our forms and standard analytics, we use it to answer you and improve the site, we don’t sell it, and we don’t put you on marketing lists.
What we collect
Information you give us. When you use the contact form, ask a question, request a quote, accept a quote, or save a project in the plan builder, we receive what you enter — typically your name, work email, company, approximate seat count, and your message. Nothing on this site requires an account or a password.
AI assistant conversations. Questions you ask our website assistant (and its replies) are logged, along with a one-way hashed form of your network address used for abuse prevention. A human may review these conversations to improve answers and catch problems. Please don’t paste passwords, health data, or other sensitive information into the chat — it’s a licensing assistant, not a vault.
Automatic collection. Like nearly every website, we use analytics — Google Analytics 4 (with IP anonymization) and, when enabled, Microsoft Clarity (aggregate usage and session interaction patterns) — plus standard server logs and short-lived rate-limiting counters. We use these to understand what content helps and to keep automated abuse out. We do not use advertising trackers and we do not run ads.
How we use it
To respond to you (a person reads every note, same business day), to prepare and honor quotes, to deliver services you request, to send transactional confirmation emails, to improve the site’s content and the assistant’s answers, and to prevent fraud and abuse. We do not send marketing email because you filled out a form. We do not process sensitive categories of personal information, and we do not knowingly collect data from anyone under 18.
Who sees it
We do not sell or share personal information for advertising — in the meaning of the California Consumer Privacy Act, we do not “sell” or “share” your data, period. We use a small set of service providers under contract, acting on our instructions: Microsoft Azure (hosting and database, United States), Microsoft Graph (sending our confirmation emails), Microsoft Teams (internal notifications to our own team), Google Analytics and Microsoft Clarity (analytics), and Anthropic (processing of AI-assistant conversations to generate replies; our API arrangement does not permit use of your conversations to train their models). Beyond that, disclosure happens only if the law requires it.
How long we keep it
Inquiries, quotations, and acceptance records are kept as ordinary business records for as long as they are relevant to our relationship or required by law. Assistant conversation logs are kept for quality and abuse review and pruned when no longer needed. When data no longer serves a purpose, we delete or anonymize it.
Your rights
You can ask us to access, correct, delete, or export the personal information we hold about you, and we’ll act on it without discrimination — these rights are honored for everyone, including under state laws such as the CCPA/CPRA (California) and equivalents, and for EEA/UK visitors under the GDPR (where our lawful bases are legitimate interest in answering the inquiries you initiate, and consent where required). Analytics choices: browser-level controls (content blockers, Google’s Analytics opt-out) work as expected on this site — every feature functions with analytics blocked.
Security & changes
We use appropriate technical and organizational safeguards — TLS everywhere, least-privilege access, hashed network identifiers in assistant logs — while noting honestly that no Internet transmission or storage system is 100% secure. When this notice changes, the effective date above changes with it; material changes get a note on this page.
