You purchase through your preferred reseller or AV partner; we verify what arrives matches the design. You (or your AV partner) order the specified hardware while we prepare the tenant: resource accounts, licensing, network verification, and admin-center configuration, so device arrival is the only dependency left.
Your on-site contact or AV integrator mounts, cables, and powers the devices to our placement guidance. This physical work is outside our fee and scope by design — see What's not included — but we stay available to the installer for questions during it.
We sign each device into its resource account, apply room-standard settings, enroll it in the Teams Rooms Pro Management portal, and confirm it reports healthy.

Which hardware do you recommend for Microsoft Teams Rooms?
Whatever certified kit actually fits each room. As a rule of thumb: all-in-one video bars with a touch console suit focus and small rooms; medium rooms usually want a bar with an expansion microphone; large or oddly shaped rooms need modular systems with separate cameras and satellite or ceiling microphones. We select from Microsoft's certified-device program — vendors such as Logitech, Poly, Yealink, Neat, and Jabra — and the shortlist for each room comes with the reasoning, so you can price it with any reseller.
Do we need Teams Rooms Pro licenses, or is the free Basic tier enough?
Each Teams Rooms device needs either a Teams Rooms Basic or a Teams Rooms Pro license. Basic is free with a certified device but is capped at 25 devices per tenant and lacks Pro's advanced management — the full Teams Rooms Pro Management portal experience, update management, analytics — and several premium in-room features. Our honest rule: Basic can be fine for a couple of rooms you are willing to manage by hand; any fleet you want monitored, updated, and reported on needs Pro. The design phase states the recommendation per room, and we can supply Pro through our CSP relationship or advise on your agreement.
What is a resource account and why does it matter?
It is the room's own identity: an Exchange Online room mailbox that people invite to meetings, paired with a Microsoft Entra ID account the device signs in with. Configured correctly, the room auto-accepts valid bookings, declines conflicts, shows its calendar on the console, and joins scheduled meetings with one touch. Configured wrong, you get ghost bookings and rooms that will not join — which is why account configuration and booking policies are a first-class deliverable here, not an afterthought.
Do you come on site to install the equipment?
The service is delivered remote-first: mounting, cabling, and powering the devices is done by your staff or your AV integrator to our written placement guidance, and we handle everything from first boot onward — sign-in, configuration, enrollment, and QA. This split keeps the price honest and the schedule fast. If you need on-site presence, tell us in scoping and we will quote it separately rather than pad every project with travel.
Can a Teams Room join Zoom or Webex meetings?
Generally yes. Teams Rooms supports joining third-party meetings from the room console (Microsoft calls this Direct Guest Join) for supported vendors including Zoom and Webex, with a reduced but workable feature set, and SIP/H.323 interop is possible via third-party gateway services where you need broader coverage. We configure third-party join where the platform supports it for your scenario and tell you plainly what the in-meeting experience will and will not include.
Should we choose Teams Rooms on Windows or on Android?
Both are legitimate, certified platforms and we deploy both. Windows-based systems generally lead on premium features, dual-screen support, and management depth; Android-based systems are often simpler and cheaper for smaller rooms. The per-room design names the platform per space rather than forcing one answer across the fleet — and we tell you the trade-offs in plain language before you buy.
Can we reuse the webcams and speakerphones we already own?
Usually not inside a Teams Rooms system — certified room systems are built and tested as kits, and uncertified peripherals are where mystery failures live. Where an existing display is decent, we happily design around it. And where a room's budget or usage honestly does not justify a room system, we will say so and suggest a bring-your-own-device setup instead — that recommendation is free of conflict because we are not selling you the hardware either way.
What does the meeting-etiquette one-pager cover?
The two minutes of behavior that make the investment pay off: booking the room instead of squatting, joining from the console instead of a laptop, using the room's audio (and why a laptop mic in the same room causes echo), sharing content wired or wirelessly, and ending the meeting so the room releases cleanly. It is written for your staff, branded plainly, and yours to circulate.
What happens after deployment — who keeps the rooms healthy?
Your administrators, using the handover we give them — or us, under the Managed Microsoft Teams Rooms Service: monthly per-device monitoring through the Teams Rooms Pro Management portal, firmware and app update management, health-alert triage, and a quarterly utilization and reliability report. It is month to month with no lock-in, and it exists because a room that drifted out of date fails exactly when the board meeting starts.
How long does deployment take, and what can extend it?
The engagement is planned as 3 weeks: design and prerequisites in week one, hardware arrival and physical installation in week two, provisioning, QA, and handover in week three. The usual extenders are hardware lead times and installer scheduling — both outside our control, which is why the design phase produces the shopping list as early as possible.
