Business Central Essentials vs Premium vs Team Members: 2026 Prices

Dynamics 365 Business Central has four paid user licenses and one that costs nothing: Essentials at $80.00, Premium at $110.00, Team Members at $8.00, Device at $45.00 and External Accountant at $0.00, all per month on an annual commitment (Microsoft list price, October 2026 price list). The questions buyers ask are which of the two full licenses they need, what the cheap licenses are allowed to do, and what the storage and environment add-ons cost when the tenant grows. This article answers them with the sheet prices and a worked 20-user distributor.

The Business Central licenses and what each one costs

Prices are per user (or per device) per month, Commercial segment, Microsoft list price, October 2026 price list. The sheet carries both an annual-commitment price and a month-to-month price; the month-to-month figure is the one to use for seasonal staff.

License Annual commitment, per month Per year Month to month Who it is for
Business Central Essentials $80.00 $960.00 $96.00 Full users: finance, sales, purchasing, inventory, projects, warehouse
Business Central Premium $110.00 $1,320.00 $132.00 Full users in a company that runs service management or manufacturing
Business Central Team Members $8.00 $96.00 $9.60 Light users who read, approve and update a few records
Business Central Device $45.00 per device $540.00 $54.00 Shared stations: warehouse scanner, shop floor terminal, point of sale
Business Central Device, 100-seat minimum $35.00 per device $420.00 $42.00 The same license at volume
Business Central External Accountant $0.00 $0.00 $0.00 Your outside accountant or bookkeeper
Business Central Essentials Attach $20.00 $240.00 $24.00 Users who already hold a qualifying Dynamics 365 base license

The sheet dates the current Essentials, Premium and Device prices to 1 November 2025; Team Members, the attach and the add-ons carry a 1 April 2025 date. Microsoft's own Business Central pricing page shows the same $80.00, $110.00 and $8.00 figures, paid yearly, with Copilot included in the two full licenses.

Essentials vs Premium: service management and manufacturing

Microsoft's pricing page describes Premium as everything in Essentials plus enhanced capabilities for service management and manufacturing, and its comparison table marks exactly two rows as Premium-only: service order management and manufacturing. Everything else is in both: finance, sales and marketing, fulfillment and delivery, purchasing and payables, inventory, supply chain planning, project management, warehouse management, multiple companies, multiple environments, customization and extensibility, and the Sales Order Agent and Payables Agent (which need Copilot Credits).

The decision rule is therefore short:

  • You make things from bills of materials with routings, work centers, production orders and capacity planning: Premium.
  • You dispatch technicians, track service items and contracts, and bill service orders: Premium.
  • You buy, stock, sell, ship and account for it, including assembly orders (which are in Essentials): Essentials.

The experience is set per company, not per user. Microsoft's documentation says a user with a Premium license can sign in to a company whose Experience field is Essentials, but cannot use Premium features there, and a user with an Essentials license cannot sign in to a company set to Premium. Mixing the two licenses in one company does not work, so a manufacturer with 30 users where only the five planners need manufacturing still licenses all 30 on Premium. The $30.00 difference per user is the price of the two modules for the whole company.

Team Members and Device: what the limited licenses may do

Team Members ($8.00). Microsoft's pricing page describes the license as limited access to read data, approve workflows, and create or update select information. In the product it arrives with the D365 READ, D365 TEAM MEMBER, EDIT IN EXCEL - VIEW, EXPORT REPORT EXCEL and LOCAL permission sets, and an administrator can trim those on the License Configuration page before the users are created. The typical Team Member is a salesperson who looks up stock and prices, a manager who approves purchase invoices in a workflow, an employee who enters a time sheet or an expense, or a warehouse lead who checks an order status. The moment someone needs to post a sales order, run a bank reconciliation or create an item, they are an Essentials user. The licensing guide lists the tables a Team Member may write to, and a partner who sets up your permissions should hold you to it, because a Team Member doing Essentials work is the finding a Microsoft license review makes.

Device ($45.00). A Device license is assigned to a shared station rather than a person, and anyone can use that station for the tasks the licensing guide allows for the device: warehouse scanning, shop floor operations, point of sale. It is the answer for a warehouse with eight pickers sharing two handhelds: two Device licenses instead of eight Essentials. A person who also works from their own desk still needs their own user license. At 100 or more devices, the sheet price drops to $35.00.

External Accountant ($0.00). One license type exists so your outside accountant can work in the books without you buying them an Essentials seat. It is for a person outside your organization, invited through the Invite External Accountant assisted setup; employees cannot be licensed this way.

Access from Teams with a Microsoft 365 license. Microsoft documents that users can look up and share Business Central records inside Teams using only their Microsoft 365 license once an administrator enables it for the environment. That is read access to records from Teams, not a license to work in Business Central, and it covers the request to see a customer card from a Business Premium user without an $8.00 license.

Storage, environments and the add-ons

Microsoft's administration documentation sets the entitlements:

  • Environments. Every customer with Essentials or Premium subscriptions can use one production environment and three sandbox environments at no extra charge. Sandboxes are for testing, training and development, and they can be created from a copy of production. The Experience field in a sandbox can be set to Premium to try the manufacturing and service modules before buying.
  • Storage. 80 GB of database storage per tenant, shared across all environments, plus an allowance per license: 3 GB per Premium user, 2 GB per Essentials user, 1 GB per Device license. Exceeding the quota blocks the creation of new environments but does not interrupt transactions. Files and attachments stored in the database count toward it.
Add-on Annual commitment, per month Per year What you get
Additional Environment Add-on $300.00 $3,600.00 One more production environment, three more sandboxes and 4 GB of shared storage
Database Capacity, 1 GB $10.00 $120.00 One extra gigabyte
Database Capacity, 100 GB $500.00 $6,000.00 The pack price; $5.00 per GB
Database Capacity Overage, 1 GB $5.00 $60.00 The lower per-gigabyte rate, available once at least one 100 GB pack is on the tenant

A second production environment is the right answer for a second legal entity in a different country with its own localization, or for a subsidiary that must not share a database; a second company inside the same environment is included and is the right answer for most multi-entity US firms.

Worked example: a 20-user distributor at list prices

A wholesale distributor with 20 people: six in finance and purchasing who post transactions, four in sales who create and post orders, two in warehouse operations who manage receipts and shipments, six field and office staff who look up stock and approve invoices, and eight pickers who share two handheld scanners. An outside CPA closes the month.

Seat Count License Per month Per year
Finance, purchasing, sales, warehouse management 12 Essentials, $80.00 $960.00 $11,520.00
Lookups and approvals 6 Team Members, $8.00 $48.00 $576.00
Shared scanners 2 Device, $45.00 $90.00 $1,080.00
Outside CPA 1 External Accountant, $0.00 $0.00 $0.00
Total $1,098.00 $13,176.00

Storage entitlement: 80 GB + 12 × 2 GB + 2 × 1 GB = 106 GB. Environments: one production and three sandboxes included. If the same distributor adds a light assembly line and moves to Premium, the 12 full users become $1,320.00 per month and the total $1,458.00 per month ($17,496.00 per year); the Team Members and Device prices do not change. If a Canadian subsidiary later needs its own production environment, add $300.00 per month. The licenses are the customer's own Microsoft subscription at list price; implementation and integration are quoted separately.

Migrating from Dynamics GP or another system

Most Business Central projects we see start from Dynamics GP, QuickBooks or a spreadsheet-and-email process. The GP to Business Central migration guide covers the cloud migration tool, which tables move and which do not, and the cutover order. Licensing lessons from those projects:

  1. License Essentials for everyone who posted in GP, and nobody else, in month one; add Team Members after go-live when you know who only looks.
  2. Buy one Device license per shared station, not per shift.
  3. Keep the External Accountant seat for the CPA and give them a sandbox copy of production for the first close.
  4. Decide Essentials or Premium before the first company is created; switching the Experience later is a configuration change, but the licenses for every user change with it.
  5. The wider Dynamics 365 pricing guide covers the Sales and Customer Service applications and the attach prices if Business Central is the second Dynamics 365 product in the tenant.

How to get a Business Central demo and trial

Microsoft's pricing page offers a 30-day trial that creates a trial environment with a sample company; set the Experience field to Premium to see manufacturing and service. For a demo with your own chart of accounts, items and customers, a partner creates a sandbox in your tenant, loads a configuration package from Excel templates, and walks your finance lead through a month: receive, sell, ship, invoice, pay, reconcile, close. Plan two hours for the demo and a week for the data load. The Dynamics 365 Administrator on Demand service covers the administration after go-live; integration with your e-commerce platform, EDI, shipping system or Power BI is a separate scope.

Frequently asked questions

What is Business Central Essentials?

It is the full-user license for Dynamics 365 Business Central at $80.00 per user per month on an annual commitment (Microsoft list price, October 2026 price list), covering finance, sales, purchasing, inventory, supply chain planning, projects, warehouse management and assembly, with Copilot included. It lacks only the service management and manufacturing modules that Premium adds.

What is the difference between Business Central Essentials and Premium?

Premium at $110.00 is Essentials plus service order management and manufacturing (production orders, bills of materials with routings, capacity planning). Everything else is identical. The experience is set per company, and Essentials users cannot sign in to a Premium company, so a tenant that needs either module licenses all full users on Premium.

What can a Business Central Team Members user do?

Read data, approve workflow steps and create or update a limited set of records, such as time sheets, expenses and personal data, for $8.00 per user per month. A Team Member cannot post sales or purchase documents, run finance processes or create master data; those tasks require Essentials or Premium.

How much does Business Central cost per user?

Essentials $80.00, Premium $110.00, Team Members $8.00 and Device $45.00 per device, all per month on an annual commitment; month-to-month prices are $96.00, $132.00, $9.60 and $54.00. External Accountant is $0.00. A 20-user distributor with 12 Essentials, 6 Team Members and 2 Device licenses is $1,098.00 per month.

How much storage and how many environments are included?

80 GB of database storage per tenant plus 2 GB per Essentials user, 3 GB per Premium user and 1 GB per Device license, shared across environments; and one production environment with three sandboxes. More is $10.00 per GB per month, $500.00 per month for 100 GB, and $300.00 per month for an additional production environment with three sandboxes and 4 GB.

How do I get a Business Central demo?

Start Microsoft's 30-day trial for a sample company, or ask a partner to build a sandbox in your tenant with your own accounts, items and customers and run a month of transactions with your finance lead. The second takes about a week to prepare and shows you the system as you would use it.

What does Business Central integration cost?

Integration development is billed at $175 per hour on a scope quoted in writing before work begins; a typical connector between Business Central and an e-commerce store, a shipping system or a CRM is scoped in days, not months. Microsoft's own connectors and AppSource apps are the first thing to check before custom work.

Key takeaways

  • Essentials is $80.00 and Premium $110.00 per user per month on an annual term; Premium adds service management and manufacturing and nothing else.
  • Team Members at $8.00 reads everything and updates a limited set of records; Device at $45.00 licenses a shared station rather than a person; External Accountant is $0.00 for your outside CPA.
  • A user with a Premium license can sign in to an Essentials company, but an Essentials user cannot sign in to a company set to the Premium experience, so a tenant is one or the other in practice.
  • Every Essentials or Premium tenant gets one production and three sandbox environments at no extra charge, plus 80 GB of database storage and 2 GB (Essentials) or 3 GB (Premium) per licensed user.
  • An additional production environment is $300.00 per month ($3,600.00 per year) and brings three more sandboxes and 4 GB; extra storage is $10.00 per GB per month, or $500.00 per month for 100 GB.
  • A 20-user distributor with 12 Essentials, 6 Team Members and 2 Device licenses is $1,098.00 per month at list; on Premium the same seats are $1,458.00.
  • Copilot is included in Essentials and Premium; the Sales Order Agent and Payables Agent run on Copilot Credits bought separately.

When the licenses are chosen and the data is in, the work that makes Business Central pay is the integration with the systems around it; Dynamics 365 Business Central Integration Development is billed at $175 per hour on a scope quoted in writing before work begins.
