Cutover G Suite to Microsoft 365 Migration - Email, Contacts, and Calendars

This service migrates email messages, email folders, contacts, and calendars from G Suite to Microsoft 365 / Exchange Online. It is for organizations that need a cutover migration of email, contacts, and calendars only and do not need Google Drive data, corporate documents, desktop software settings, or other data migrated. Google Tasks is not migrated — Microsoft's native migration tools do not support it. Google Drive migration is a separate SKU, Google Sites migration is not included, and Google Forms migration is not included but can be added as an extra-cost item.

What this engagement is

IT Partner migrates the in-scope content of user mailboxes from G Suite to a Microsoft 365 tenant. The scope is limited to email messages, email folders, contacts, and calendars. Google Tasks is not migrated — Microsoft's native migration tools do not support it. The objective is to provide planning, design, and migration from G Suite to Microsoft 365 without downtime or data loss and with minimal user disruption. Google Drive data is not included in this SKU; Drive migration is a separate SKU.

Success criteria

01The migration project will be considered successful if all mailboxes are moved to Microsoft 365.
02Users can access Exchange Online on their desktop PCs, mobile phones, and tablets from any place, any time.
03All in-scope email, contacts, and calendars are successfully migrated to Microsoft 365 tenant and are accessible by all user profiles.
04All necessary Transport rules are created and working.
05Mail can be sent and received using Exchange Online.
06Exchange Online Protection configured and working.

What you receive

Destination Microsoft 365 tenant configured.
Users created and configured.
Licenses assigned.
Migration plan created and configured.
Informational messages for users provided.
Email, email folder, contact, and calendar data migration started and controlled.
Project closeout report provided upon completion, indicating the final project status, acceptance criteria matching, outstanding issues if any, and the final budget.

How the work unfolds

Kickoff meeting

Confirm the migration scope, mailbox count, schedule, cutover window, points of contact, DNS ownership, administrator access approach, and user communication responsibilities. Review that this engagement migrates email, email folders, contacts, and calendars only, and confirm any known VIP or high-risk mailboxes.

Pre-migration source system health check

Review the G Suite source environment for migration readiness, including administrator access, mailbox list, mailbox sizes where available, domain configuration, and any conditions that could affect migration throughput or completeness.

User creation or AD connect tool configuration

Prepare destination Microsoft 365 user identities and Exchange Online mailboxes. Depending on the client environment, this may include creating cloud users or confirming AD Connect / Microsoft Entra Connect synchronization for existing Active Directory users, then assigning appropriate Exchange Online licenses.

Email and data migration start

Configure the migration batches or migration tooling, map source mailboxes to destination mailboxes, validate credentials, and start the initial synchronization of email messages, email folders, contacts, and calendars from G Suite to Exchange Online.

Migration process verification

Monitor migration progress, review errors or throttling conditions, confirm that mail folders and recent items are appearing in destination mailboxes, and coordinate remediation for mailbox-level issues such as invalid credentials, disabled access, or unusually large mailboxes.

MX record to a new Microsoft 365 tenant

During the approved cutover window, coordinate the mail flow transition by updating the domain MX record to Microsoft 365. Confirm supporting DNS records as required for Exchange Online mail flow and protection, with DNS changes performed by the client or the party that controls the DNS zone.

Final email and data migration

Run the final synchronization pass after MX cutover to capture remaining in-scope source data that arrived before or during the transition. Validate that destination mailboxes are receiving new mail through Exchange Online.

Verification and fixing issues

Perform post-cutover checks for representative and high-risk users, confirm mail send/receive, verify Exchange Online access, review migration completion status, address known exceptions within the agreed scope, and prepare project closeout information.

Prerequisites

You must have a Microsoft 365 tenant with Exchange Online licenses.
You must have access to your email domain DNS zone.
You must have admin access to G Suite.
The source must be a paid Google Workspace / G Suite environment. Free Gmail accounts are not supported.

Migration of Google Sites
Migration of Google Forms (could be added as an extra-cost item)

Limitations & technical notes

!Only email, email folders, contacts, and calendars will be migrated. Google Tasks is not migrated — Microsoft's native migration tools do not support it. Google Drive data is not included in this SKU and requires a separate SKU; Google Sites is not included, and Google Forms can be added as an extra-cost item.
!For email migration, we can only migrate items in a user inbox or other mail folders.
!We can migrate a maximum of 500,000 items from a user mailbox; emails are migrated from newest to oldest.
!The biggest email we can migrate is 35 MB.
!Regular, non-paid Google apps or Gmail accounts do not have administrative credentials. These accounts must be migrated using the individual user names and passwords for each account. Without admin credentials, your account may be temporarily locked by Google.
!Google does not have a folder hierarchy for email, but a virtual view called Google Labels. Google Labels cannot be transferred properly to other messaging systems. Messages are stored as a single instance within the Google mail store, although they may appear under several labels within the web interface. When an IMAP client, such as Outlook or your mobile device, is connected to Google, the labels appear as folders, and the email with several labels will be downloaded several times, taking up additional storage space.
!The plan may vary depending on your needs.

Frequently asked questions

What does the Cutover G Suite to Microsoft 365 Migration service include?

This service migrates user email messages, email folders, contacts, and calendars from G Suite to Microsoft 365 / Exchange Online. IT Partner also configures the destination Microsoft 365 tenant, creates and configures users, assigns licenses, prepares the migration plan, starts and controls the migration, and provides a closeout report.

What data is migrated from G Suite to Microsoft 365?

Email messages, email folders, contacts, and calendars are migrated. Google Tasks is not migrated — Microsoft's native migration tools do not support it. Google Drive data, Google Sites, corporate documents, desktop software settings, and other data are not included; Drive migration is a separate SKU and Google Forms migration can be added as an extra-cost item.

Does this service migrate Google contacts, calendars, or tasks?

Contacts and calendars — yes: this service covers email, email folders, contacts, and calendars. Google Tasks — no: Microsoft's native migration tools do not support migrating Google Tasks. Google Drive data is also not included and requires a separate SKU.

How much does this G Suite to Microsoft 365 migration cost?

Any additional services outside the stated email, contact, and calendar migration scope should be confirmed with IT Partner before the engagement.

How long does the migration take?

The stated service duration is 1 week. The actual plan may vary depending on your environment, mailbox volume, readiness, and required coordination, so timing should be confirmed during the kickoff and planning process.

Who manages this migration service?

The service manager listed for this offering is Mike Mackey. During the engagement, IT Partner coordinates the migration activities according to the agreed plan and project milestones.

What are the prerequisites for this migration?

You need a Microsoft 365 tenant with Exchange Online licenses, access to your email domain DNS zone, administrator access to G Suite, and a paid Google Workspace / G Suite environment. Free Gmail accounts are not supported.

Can free Gmail or non-paid Google accounts be migrated with this service?

Regular, non-paid Google apps or Gmail accounts do not have administrative credentials; if such accounts must be migrated, they require individual usernames and passwords for each account, and Google may temporarily lock the account.

What happens during the migration engagement?

The engagement typically includes a kickoff meeting, source system health check, user creation or AD Connect configuration, migration start, migration verification, MX record cutover to Microsoft 365, final migration, and issue verification/fixing. The implementation plan may vary depending on your needs, so detailed milestone timing should be confirmed with IT Partner.

Will users experience downtime during the cutover?

The stated objective is to migrate G Suite mailboxes to Microsoft 365 without downtime or data loss and with minimal user disruption. Because DNS changes, mailbox access changes, and client readiness can affect the user experience, the exact business impact should be reviewed during planning.

How is mail flow moved from G Suite to Exchange Online?

Mail flow is cut over by changing the domain’s MX record to the new Microsoft 365 tenant. The client is responsible for performing required internal and external DNS changes, while IT Partner includes the MX record cutover step in the migration plan.

What is IT Partner responsible for during the project?

IT Partner gathers information, verifies the original G Suite environment, configures the Microsoft 365 tenant, creates and configures users, assigns licenses, creates the migration plan, provides informational messages for users, and starts and controls the data migration process. IT Partner also provides a project closeout report after completion.

What is the client responsible for during the migration?

The client must provide a dedicated point of contact, coordinate internal resources and schedules, review deliverables, provide admin access to the source system or user passwords, perform DNS changes, identify high-risk users, and ensure required access is enabled for all users. These responsibilities are required because the migration depends on access, scheduling, DNS control, and user readiness.

Does IT Partner notify end users about the migration?

No, informing users about the migration is not included as a managed client communication activity. IT Partner provides informational messages for users, but the client is responsible for distributing communications and coordinating staff schedules.

Are Microsoft 365 licenses included in the service price?

No. The service requires that you already have a Microsoft 365 tenant with Exchange Online licenses. IT Partner can assign licenses as part of the migration work, but the licenses themselves are a prerequisite and are not included in the migration price.

What mailbox size or item limits apply to this migration?

This service can migrate a maximum of 500,000 items from a user mailbox, and email is migrated from newest to oldest. The largest individual email that can be migrated is 35 MB.

How are Gmail labels handled when migrating to Microsoft 365 folders?

Gmail uses labels rather than a true folder hierarchy, while IMAP clients such as Outlook present labels as folders. Because one Gmail message can have multiple labels, the same message may be downloaded multiple times into Microsoft 365 folders, which can increase storage usage and may not perfectly reproduce the Gmail label experience.

What qualifies the migration as successful?

The project is considered successful when all mailboxes are moved to Microsoft 365. The stated results also include users being able to access Exchange Online from desktops, mobile phones, and tablets, in-scope email, contacts, and calendars being accessible, necessary transport rules working, mail being sent and received, and Exchange Online Protection being configured and working.

What is delivered at the end of the project?

IT Partner provides a project closeout report indicating the final project status, acceptance criteria matching, any outstanding issues, and the final budget. The expected deliverables also include the configured Microsoft 365 tenant, configured users, assigned licenses, migration plan, user informational messages, and controlled migration of email, email folders, contacts, and calendars.

Can training or more extensive documentation be added?

Customer team training and more extensive documentation are not included in the base service. They may be available for an additional fee, so they should be requested and scoped separately with IT Partner.
