Microsoft 365 Frontline Worker Deployment is a 4-week, $3,950 engagement (estimate, confirmed in a written quote) that brings your deskless staff — field crews, retail floors, care teams, warehouse shifts — into Microsoft 365 on the F licenses built for them: F1/F3 license mapping by role, Teams Shifts for scheduling, Tasks for task publishing, Walkie Talkie for push-to-talk, a frontline communications structure in Teams, shared-device sign-in profiles in your existing Intune environment, and manager training so the rollout survives contact with the schedule board.
What this engagement is
Most Microsoft 365 rollouts stop at the people with desks. The workers who actually face your customers — on the sales floor, in the truck, on the ward, at the dock — are left with paper schedules, personal group chats, and no company identity at all. Microsoft's answer is the frontline F licenses (Microsoft 365 F1 and F3), which cost a fraction of the desktop-worker plans because they are built for phones, tablets, and shared devices rather than PCs. This service deploys that stack properly. It starts with license mapping, because F1 versus F3 is a per-role decision with real consequences: F1 covers Teams (with Shifts and Walkie Talkie), read-only web and mobile Office, and includes Microsoft Entra ID P1 and Intune Plan 1 for identity and device management — but no usable email mailbox. F3 adds a 2 GB Exchange Online mailbox with Outlook on the web, edit rights in the web and mobile Office apps, and further entitlements including Windows Enterprise rights. A stockroom associate and a shift supervisor usually do not need the same license, and mapping that honestly is where the licensing budget is won. Neither plan includes desktop Office apps — that is by design, and if a role genuinely needs them, it needs a different license, which we will say plainly. Manager training covers building and copying schedules, approving swaps and time-off, publishing tasks, and reading what Shifts tells them, so the people who run the schedule actually move onto it.

What is the difference between Microsoft 365 F1 and F3?
F1 covers Teams (including Shifts and Walkie Talkie), read-only access to web and mobile Office, and includes Entra ID P1 and Intune Plan 1 — but no usable email mailbox. Do our frontline workers need E3 licenses?
Usually not — that is the point of the F plans, which cost a fraction of E-class licensing. But some roles genuinely exceed F limits: heavy mailbox use, desktop Office apps, or full Windows workstations. The license map flags those exceptions honestly instead of squeezing everyone into the cheapest SKU and calling it savings.
Can Teams Shifts replace our paper schedule or spreadsheet?
For most SMB frontline operations, yes — schedule groups per crew, shift templates, open shifts workers can claim, swap and offer requests with manager approval, time-off requests, and an optional time clock. We configure it around your real crews and shift patterns, and manager training plus a live pilot scheduling cycle is how the old schedule actually gets retired.
Does Shifts integrate with workforce-management systems like UKG or Blue Yonder?
Microsoft provides Shifts connectors and Graph APIs for certain WFM systems, so integration is often possible — but it is real integration work with its own testing burden, so it is scoped separately as time-and-materials rather than hidden inside this fixed engagement. If you run a full WFM platform, we will say plainly whether Shifts should front it or stay out of its way.
What is Walkie Talkie and what devices does it need?
A push-to-talk app built into Teams that turns phones and tablets into instant-communication radios over Wi-Fi or cellular — no radio hardware to buy or maintain. It works on iOS and Android, and several rugged Android devices offer dedicated push-to-talk buttons that map to it. The pilot verifies the part no datasheet can promise: your building's actual network coverage.
How do shared devices work for shift workers?
With shared-device sign-in profiles configured in Intune, a device can pass between workers across shifts: one signs out, the next signs in, and company data does not leak between them. Kiosk-style profiles lock a device to specific apps where that fits the role. We configure these profiles in your existing Intune environment for the agreed device groups.
Are the devices themselves included?
No — hardware procurement and fleet enrollment are out of scope unless an Intune engagement is added. If Intune is not deployed yet, or your device fleet needs enrollment at scale, our Intune Initial Setup services (Windows, Android, iPhone/iPad, macOS) cover that foundation, and we scope them alongside this deployment when needed.
What does manager training cover?
The people who run schedules make or break frontline rollouts, so training is hands-on for them: building and copying schedules in Shifts, approving swaps and time-off, publishing task lists and reading completion reports, and using the location team's channels for shift communication. Frontline workers get a quick-reference guide; full end-user training programs are a separate service.
How much does it cost and how long does it take?
$3,950 per project as an estimate for the standard scope, confirmed as a fixed written quote before work begins — you pay after you approve delivery. The engagement runs about 4 weeks: license mapping and structure in the first half, Shifts/Tasks/Walkie Talkie configuration and shared-device profiles next, manager training and the pilot scheduling cycle at the end. F-license costs are billed by Microsoft, not by us.
What is not included?
Microsoft license fees, device hardware and fleet enrollment (Intune engagements cover that), Intune initial deployment itself, WFM/HR system integration (separate time-and-materials scope), payroll pipelines, custom app development, and company-wide training programs. Each exclusion has a named path — mostly our own adjacent services — so nothing is left as a surprise.
Does Shifts have a time clock?
Yes — Shifts includes a time clock with clock-in/clock-out from the mobile app, which we enable where you want it. Whether to use it, and the HR policy around it, is your call: we configure the tool and leave employment-policy decisions with you and your HR advisors.
Do F licenses include email?
F3 includes a 2 GB Exchange Online mailbox used through Outlook on the web and mobile — small by desk-worker standards, adequate for schedule notices and HR mail. F1 does not include usable email. This single difference decides many roles' license tier, which is why the map is per role, not per company.
