Confirm the migration scope, mailbox count, schedule, cutover window, points of contact, DNS ownership, administrator access approach, and user communication responsibilities. Review that this engagement migrates email, email folders, contacts, and calendars only, and confirm any known VIP or high-risk mailboxes.
Review the Google Workspace source environment for migration readiness, including administrator access, mailbox list, mailbox sizes where available, domain configuration, and any conditions that could affect migration throughput or completeness.
Prepare destination Microsoft 365 user identities and Exchange Online mailboxes. Depending on the client environment, this may include creating cloud users or confirming Microsoft Entra Connect synchronization for existing Active Directory users, then assigning appropriate Exchange Online licenses.
Configure the migration batches or migration tooling, map source mailboxes to destination mailboxes, validate credentials, and start the initial synchronization of email messages, email folders, contacts, and calendars from Google Workspace to Exchange Online.
Monitor migration progress, review errors or throttling conditions, confirm that mail folders and recent items are appearing in destination mailboxes, and coordinate remediation for mailbox-level issues such as invalid credentials, disabled access, or unusually large mailboxes.
During the approved cutover window, coordinate the mail flow transition by updating the domain MX record to Microsoft 365. Confirm supporting DNS records as required for Exchange Online mail flow and protection, with DNS changes performed by the client or the party that controls the DNS zone.
Run the final synchronization pass after MX cutover to capture remaining in-scope source data that arrived before or during the transition. Validate that destination mailboxes are receiving new mail through Exchange Online.
Perform post-cutover checks for representative and high-risk users, confirm mail send/receive, verify Exchange Online access, review migration completion status, address known exceptions within the agreed scope, and prepare project closeout information.
