# Microsoft 365 E3 vs E5: What the Upgrade Actually Buys You

> Microsoft 365 E3 covers the productivity and management core most enterprises need; E5 is an upgrade you buy for a reason, not by default — its value is concentrated in four areas: the full Defender security suite, premium compliance (eDiscovery Premium, Insider Risk, advanced Purview), Entra ID P2 identity protection, and built-in Teams Phone and Power BI Pro. The honest math: if you'd otherwise buy two or more of those as add-ons — or your security team wants Microsoft's full XDR stack — E5 usually pays for itself. If not, E3 plus targeted add-ons for the few people who need them is the better spend.

## Choose Microsoft 365 E3 when

- You need the enterprise core — Office apps, 100 GB mail, Entra P1, Intune, Windows 11 Enterprise — without the premium security bill
- Your security tooling is already covered by a third party (or a SOC you're not replacing)
- Only a small group needs advanced compliance — license those few, not everyone
- Budget predictability matters more than consolidating tools

## Choose Microsoft 365 E5 when

- You want Microsoft's full XDR stack: Defender for Endpoint P2, Office 365 P2, Identity, and Cloud Apps
- You have real compliance exposure — eDiscovery Premium, Insider Risk Management, advanced Purview
- You'd otherwise buy Entra ID P2, Teams Phone, or Power BI Pro as separate add-ons
- You're consolidating security vendors and want one throat to choke
- Your cyber-insurance or auditors keep asking for capabilities E3 doesn't have

## The add-on math most spreadsheets miss

- The E5 conversation usually starts with security and ends with arithmetic. Priced separately, Entra ID P2, Defender for Endpoint P2, Power BI Pro, and Teams Phone add up fast — cross two or three of them and the E5 delta stops looking like a premium and starts looking like a bundle discount.
- The mistake in the other direction is just as common: buying E5 for everyone because the security team needs it for someone. Licensing is per-user, and mixing is allowed — a 500-person company might run E5 for the 60 people in finance, legal, and IT, and E3 for everyone else. Microsoft's own security add-ons (E5 Security, E5 Compliance) exist precisely for stepping up a subset without the full jump.
- One more honest note: E5's security value assumes someone actually operates it. The Defender suite and Insider Risk aren't set-and-forget — if nobody owns the queue, you're paying for dashboards nobody reads. That's an argument for pairing E5 with managed security, or for staying on E3 until the operational side is real.

## FAQ

### How much more does E5 cost than E3?

E5 runs roughly 55–60% above E3 per user on current NCE pricing (both shown live on their plan pages). Whether that's expensive depends entirely on how many E5-only capabilities you'd otherwise buy as add-ons.

### Can I mix E3 and E5 in one tenant?

Yes, and most organizations should. Put E5 on the users who need premium security, compliance, or voice; keep E3 for the rest. Per-role licensing is normal and fully supported.

### What are E5 Security and E5 Compliance add-ons?

They're mini-steps between E3 and E5: E5 Security adds the full Defender suite and Entra ID P2 to an E3 base; E5 Compliance adds the premium Purview capabilities. If you only need one of the two pillars, an add-on on E3 is usually cheaper than full E5.

### Does E5 include Microsoft 365 Copilot?

No. Copilot remains a separate paid add-on on both plans — E5 doesn't bundle it.

### Is Teams Phone in E5 a complete phone system?

E5 includes Teams Phone Standard and audio conferencing, but you still need PSTN connectivity — a Microsoft Calling Plan, Operator Connect, or Direct Routing — for actual phone numbers and outside calls. That's a separate per-user cost on any plan.

### Do auditors or cyber-insurance requirements force E5?

Not by name, but the capabilities they ask for — EDR everywhere, privileged identity management, insider-risk monitoring, defensible eDiscovery — map heavily onto E5 or the E5 Security/Compliance add-ons. Bring the questionnaire to a licensing review; sometimes E3 plus one add-on satisfies it.

### Can IT Partner help us decide who actually needs E5?

Yes — that's the normal starting point. We map roles to capabilities, price the E3+add-on alternative against full E5, and hand you the comparison. Same Microsoft price either way; you just avoid paying for shelf-ware.
